The Position
Lieb at Law is hiring a Litigation Operations Paralegal for our Smithtown office. This is a hands-on role for someone with law firm litigation experience who wants to understand how an entire case moves, not spend every day performing the same narrow task.
You will work alongside attorneys and experienced paralegals on civil and commercial matters at different stages of litigation. Your work may include coordinating deadlines, organizing digital case files, preparing filings, tracking discovery, communicating with clients, solving scheduling and logistical issues, and helping attorneys prepare for motions, hearings and trials.
This role is a good fit for someone who likes being the person who knows what is happening, what still needs to be done and where to find the information. You should enjoy organizing complicated work, learning new systems and following assignments through to completion.
You do not need to arrive knowing every part of the job. We will train you to take on broader responsibilities as you develop. More Than a Traditional Paralegal Role
This position combines litigation support with the daily work that keeps cases moving. You will not be limited to filing papers or one repetitive function. You will see how matters develop, how deadlines are controlled and how attorneys prepare for motions, hearings and trials.

Core Responsibilities
You will support attorneys and senior paralegals throughout a case. Some assignments will be familiar; others will be taught. Document every significant action in the digital case file and update calendars, status trackers, task lists and cloud documents as appropriate.
Case Management and Digital Files
- Maintain organized case files, status trackers and firm-provided task lists.
- Scan, label and save incoming documents and communications promptly.
- Record completed work, outstanding requests and follow-up dates.
Calendars and Deadlines
- Review court notices, orders and emails for deadlines and required action.
- Update Google Calendars with appearances, meetings, deadlines and reminders.
- Track outstanding assignments and alert the team to approaching dates or unresolved issues.
Filings and Motion Support
- Assemble pleadings, motions, exhibits and filing packages for attorney review.
- File through the applicable electronic systems and arrange service.
- Check filing confirmations, address rejected or incomplete submissions and retain proof of filing and service.
Discovery and Evidence
- Organize requests, responses, productions and client records; track outstanding discovery.
- Prepare document indexes, exhibit lists, chronologies and production folders.
- Help schedule depositions and prepare materials, keeping records of what was produced and received.
Hearing and Trial Preparation
- Assemble electronic and physical materials for hearings, arbitrations and trials.
- Organize exhibits, witness materials, subpoenas and procedural documents.
- Coordinate witnesses, technology, travel and document delivery; confirm materials are complete and accessible.
- Assist attorneys and senior paralegals before and during appearances.
Client and Telephone Support
- Monitor calls, email and notifications; respond or route time-sensitive requests.
- Identify the matter and review its digital file before addressing a caller's needs.
- Resolve routine administrative issues and document the conversation and any follow-up.
- Refer legal questions and unresolved issues to the responsible attorney or staff member with the relevant background.
Litigation Logistics
- Schedule depositions, conferences, meetings and other case events.
- Coordinate with courts, clients, opposing offices, reporters, process servers, experts and vendors.
- Obtain transcripts, records, signatures and missing documents; confirm service and follow up on outstanding requests.
AI-Assisted File Review
- Review case materials and use firm-approved AI tools for initial summaries and timelines.
- Check every summary against the underlying documents before sharing or relying on it.
- Identify missing information, conflicting dates and unresolved issues, and help attorneys locate the relevant records.

A court notice or a call from a client can change the day's priorities. A typical day might look like this:

Start with email, court notifications, calendars, task lists and status trackers. Note new deadlines and work out what needs attention first.
Keep Matters Moving
The morning might involve a filing package, discovery records or a service request. Later, you may schedule a deposition or help prepare for a hearing while keeping earlier assignments on track.
Respond and Troubleshoot

Organize Information for the Attorneys

Update the Systems
Record the work in the case-management system, update applicable status spreadsheets and Google Calendars, save documents to the cloud file and maintain your firm-provided task list. Leave a clear next step and follow-up date for unfinished work.
